Backfile Conversion Is a People Issue
"The successful conversion of large numbers of documents for use in an imaging system depends largely on the quality of the people involved in the project. In addition to choosing a quality conversion service vendor, you must staff your internal support team with intelligent, enthusiastic personnel who can adapt their existing skills and knowledge to assist with the task at hand.
It is especially important to choose a project manager who is experienced in the work procedures that the imaging system will be replacing, such as the hard copy distribution or records processing. Many of the administrative controls used with older technologies that involve paper or aperture card can be applied to the backfile conversion and the on-going conversion process. A project manager experienced in these areas can more effectively manage the tasks involved in backfile conversion project.
The administrative staff who index, verify, and scan documents should have the initiative and skills to solve the many problems that arise in archiving documents. These problems include quality of originals, indexing issues and data problems.
